- The integrity of client supplied data files must be maintained, client supplied data files must be securely locked and not manipulated nor overwritten.
- Manipulation and analysis of data files should only be performed on data extracted from the original data sets, not the original data sets themselves.
- Data Management Document:
- A comprehensive data management catalogue shall be maintained for all data sets.
- This document will include the following information for each data set:
- Source: The origin or creation of the data.
- Description: A brief description of the data set’s content and purpose.
- Content: Detailed information about the data contained within the set.
- Purpose: The intended use or goal of the data set.
- Change Log:
- The data management catalogue shall include a change log for each data set and its subsets.
- The change log will record the following changes:
- Date of export/import.
- Change of content: Details of any modifications or updates to the data.
- Change of structure: Any alterations to the organisation or format of the data.
- Double Check for Subsets:
- All data files featuring a sub-set of imported or exported data must undergo a double-check process.
- This process will verify the conditions and quantity of data before and after every data export or import to prevent errors.
- Auditing Process for Customer Platforms:
- All insertions or uploads to customer platforms must undergo a total auditing process.
- The auditing process will confirm the accuracy and integrity of data both before and after the data manipulation work carried out.
- The audit will ensure that data is in the correct state before any changes and that it remains accurate after any manipulations.

- All data supplied by a client organisation is processed according to the Data Protection Act 2018 and the General Data Protection Regulation. Our role as data processor is governed by contract with the client organisation, who is always the data controller.
